Registration & Policies
- Prairie Gymnastics Club uses a no contract, pay by the month registration system. Our year-round program has the following benefits:
- No long-term commitments
- Smaller monthly payments

REGISTRATION
- Prairie staff are available to help you find the class that best fits your child’s age and skill level. Visit the online Customer Portal to create an account, view available class times, and register your child. The Customer Portal also allows you to view your account, make payments, request make-up classes, and register for future classes. Visit your phone’s app store and search “The iClassPro App” to download our app (use organization code prairiegym) for easy access to the Customer Portal.
- If you register once a class has already started, you will pay the pro-rated cost for that month. You must be ready to start in the next available class.
- Everyone is required to have a credit/debit card on file. Each family has the opportunity to pay by the 27th of the prior month with another form of payment. You will receive an e-mailed statement on the 20th of each month which will serve as a reminder that payment is due. If your payment has not been received by the 27th, the card on file will be charged on the 28th for the upcoming month. If for any reason the card is declined, a $10.00 handling charge will be assessed. You will have until the 1st of the month to make the payment or your child’s spot in class will be forfeited.
- Tuition is budgeted on a 48-week year, which allows for a Holiday Break in December as well as Spring and Summer Breaks. As a result, tuition remains consistent from month to month, regardless of the number of classes scheduled in a particular month. We do not charge more for “long” months or less for “short” months. Any additional gym closures or holidays that fall outside of these scheduled breaks will be reflected through prorated tuition adjustments.
- Annual Registration Fee: All members of Prairie Gymnastics Club are required to pay a yearly registration fee of $30.00 due with your first registration and paid yearly on the anniversary month of enrollment.
REFUND POLICY
We offer a full tuition refund if withdrawal is requested within the first week of enrollment. Withdrawal requests must be submitted through the Customer Portal.
After the First Week
- Tuition is non-refundable and non-transferable
- No refunds or credits will be issued for:
- Missed classes
- Partial month attendance
- Schedule conflicts
- Withdrawal after the monthly billing deadline
Medical Exceptions
In the case of a documented medical condition or injury preventing participation:
- Requests for account credit may be considered on a case-by-case basis with appropriate documentation
The following fees are non-refundable:
- Annual registration fee
- Late fees and declined payment fees
- Apparel charges (including required Prairie t-shirts)
- Hair tie charges
DROP OFF PROCEDURES
- Students may enter the building up to 10 minutes before their scheduled class time.
- Please bring your child into the front lobby and remain with them until their class is called into the gym. For safety reasons, all children in the lobby or viewing areas must be directly supervised by an adult until class begins.
- The gym’s back entrance is reserved for Prairie staff and team athletes only.
PICK UP PROCEDURES
- Instruct your child to wait inside the building until you arrive. Students age 12 and under must be picked up by a parent, guardian, or authorized adult in the front lobby at the conclusion of class. For safety reasons, our younger students may not leave the building to meet a parent in the parking lot. Athletes over the age of 12 may leave independently unless Prairie Gymnastics Club has been instructed otherwise by a parent or guardian.
- To help maintain a safe and comfortable environment, please avoid gathering in the lobby more than 10 minutes before dismissal.
- Parents and guardians are responsible for notifying Prairie Gymnastics Club if someone other than themselves will be picking up their child.
- Please make every effort to be on time at pick up and inform us if you know you will be late. Repeated late pick ups will result in a fee of $5.00 for 1-5 minutes and $1.00 for each additional minute. To be considered present and on time for pick-up, parents must be inside the building at the end of class. If a parent or guardian is not present at dismissal, the child will remain with the front desk staff in the lobby. If a front desk staff member is not available, the athlete will sit in the gym within the coach’s line of sight until a parent or guardian comes inside to pick them up.
WITHDRAWAL POLICY
- If at any time you wish to withdraw from our program, visit your Customer Portal account and click “My Account > Enrollments > Drop Enrollment” no later than the 20th of the month. Your child is welcome to attend the remaining classes in the current month. Please list your child’s “Drop Date” as his/her last day in attendance. Handwritten letters, typed e-mails, or e-mailed withdrawal requests will not be accepted as a form of cancellation. If you fail to withdraw your child from class on or before the 20th of the month, you will be charged and therefore enrolled in the upcoming month.
- Once your withdrawal request has been received and processed, you will receive an e-mail confirming your child’s withdrawal date. If you do not receive a confirmation e-mail, please contact the front desk to make sure your request has been received.
- If you withdraw from a class mid-month, you will not receive credits and/or refunds for the remaining classes in the current month.
- Cancellation of your enrollment will lead to forfeiture of all unused make-up tokens not used prior to cancellation.
- You are welcome to return at any time but are not guaranteed a spot in the same class with the same instructor.
MAKE UP TOKENS
- Consistency is the key to progress in gymnastics (and life). We encourage all students to attend their regularly scheduled class. In the event your child needs to miss a class, we have the following make-up policy in place for our preschool & recreational programs:
- To qualify for a make-up token, you must mark your child absent in the Customer Portal to cancel a minimum of 30 minutes prior to missing a class. (My Account > Future Absences). Consideration will be given to individual circumstances.
- During the school year, only one make-up token will be awarded per month for each child enrolled at Prairie. During Prairie’s summer break, make-up tokens are unlimited.
- Make-up tokens will automatically be added to your account when attendance is taken on the day of the absence and will expire 90 days after the missed class occurs.
- Make-up tokens may be redeemed for an equivalent class with temporary openings created by expected absences only. Please be sure to mark your child absent as far in advance as possible (no later than 30 minutes in advance) so others have the opportunity to use your child’s temporarily open spot for a make-up.
- To view available tokens or use your token for an equivalent class, visit your Customer Portal account and click “My Account > Make Ups > Request”. Make-up classes can be scheduled up to one week in advance.
- Make-ups are not guaranteed (subject to availability) and can only be used after the missed class occurs. Missed make-ups cannot be rescheduled.
- Make-up tokens can only be used while enrolled in a class at Prairie. Cancellation of your enrollment will lead to forfeiture of all unused make-up tokens not used prior to cancellation.
TRIAL CLASSES
- Prairie offers one free trial class to new customers upon request, subject to class availability.
- Register for your free trial class by creating an account in our Customer Portal, locating an available class for your child, and clicking the “Request a Trial” button.
- Your child’s spot in the class you choose will only be held until the end of the class day. Please visit the front desk, e-mail info@prairiegym.com, or call (630) 406-6803 to secure a spot in the class for your child if you wish to continue after your trial.
- Your card on file will only be charged for the remaining classes in the month once you’ve confirmed that you want to enroll your child beyond the trial class.
- Free trial classes cannot be rescheduled. If for some reason you are unable to make your scheduled free trial class, we are happy to offer you a one-time trial spot in another class for a $20.00 drop-in fee.
- If you schedule a trial class but fail to attend without prior notice (“no call/no show”), a $20.00 fee will be charged to your card on file for the held spot.
VIEWING
- Parents are welcome to observe classes from the balcony at any time, but we request that you refrain from making comments to your children during class time.
- Any children in the lobby or balcony must be directly supervised by an adult at all times. We encourage you to bring activities for quiet play. Please help keep everyone safe by not allowing your child to practice gymnastics in the lobby or balcony.
- Please help us keep our facility tidy by putting trash and recyclables in the designated bins and by putting away toys and books. THANK YOU!!!
ILLNESS POLICY
For the health and safety of all participants, please do not bring your child to class if they are experiencing:
- Fever within the past 24 hours
- Vomiting or diarrhea within the past 24 hours
- Contagious illness (including but not limited to flu, COVID-19, strep throat, etc.)
Students must be symptom-free for at least 24 hours without medication before returning to class. Missed classes due to illness may be eligible for a make-up token if the absence is properly reported.
BEHAVIOR & PARTICIPATION EXPECTATIONS
Prairie Gymnastics strives to maintain a safe, structured, and positive environment for all students.
Students are expected to:
- Follow coach instructions
- Participate with their assigned group
- Demonstrate safe behavior at all times
If a child is unable to follow directions or behaves in a way that is unsafe or disruptive:
- They may be temporarily removed from class
- Ongoing concerns may result in a recommendation for a different class setting or withdrawal from the program
COACH & STAFF AUTHORITY
For the safety and success of all participants, Prairie Gymnastics coaches and staff reserve the right to make decisions regarding:
- Class placement
- Skill progression
- Participation in class activities
- Overall program fit
All decisions are made with the best interest of the child and the safety of the group in mind.
PARENT INVOLVEMENT
With the exception of our Parent & Tot classes, parents are not permitted on the gym floor during class unless specifically approved by Prairie staff.
If a parent or guardian is invited onto the floor:
- They must follow all safety rules and staff direction
- They may not coach, instruct, or interfere with class flow
- They are expected to remain in designated areas as directed by staff
Failure to follow these guidelines may result in removal from the floor.
EMERGENCY & INCIDENT PROCEDURES
In the event of an injury or emergency:
- Prairie staff will provide immediate assistance
- Parents/guardians will be notified as soon as possible
- Emergency medical services will be contacted if necessary
MISCELLANEOUS
- Your gymnast will be formally evaluated periodically during the school year, but our coaches are continuously evaluating them to be sure they are in the proper class for their age and skill level. You will be informed if a class change is needed, but please feel free to check in with your child’s coach before or after class if you have any questions regarding your child’s progress.
- In the event of bad weather, please monitor your e-mail or iClass App for class cancellation information. You must be subscribed to our e-mail notifications to receive important gym information. We also post cancellation information on our Facebook and Instagram pages, and on our answering machine at (630) 406-6803. We will reschedule or offer make-ups for any cancelled classes.
SAFETY RULES
Please review these very important safety rules with your child.
- No one is allowed in the gym without an instructor. All children in the waiting or viewing areas must be supervised by an adult.
- Students are allowed to enter the building a maximum of 10 minutes before class is scheduled to begin.
- No food, gum, or drinks (other than water) are allowed in the gym.
- Personal items should be left in our lobby cubbies. Jewelry should not be worn during classes. PLEASE LEAVE JEWELRY ARTICLES AND OTHER VALUABLES AT HOME. Prairie staff will not be responsible for ANY items that may be lost or stolen. Be sure your student’s personal items are marked with their name.
- Glasses must be securely fastened.
- Hair must be pulled neatly and securely away from the face so that it stays up for the entire class. Children should not wear bows or other hair ornaments as they may cause discomfort during activity.
- Please arrive a few minutes before your class time so you are ready for warm-ups. Proper warm-up exercises add to both the safety and success of every gymnastics activity.
- Instruct your child to wait inside the building until you arrive. You should escort your child from the building to your car. During peak times, the parking lot is crowded. Please take into consideration that our students may include young children. Drive slowly and carefully. Do not take a chance on your child running to and from your car.
- Our balcony is open for observation during all classes. Please NO FLASH PHOTOGRAPHY for the safety of our students. Filming or photography during classes/practices should be restricted to your own child as much as reasonably possible.
ATTIRE
Girls – Fitted, comfortable athletic clothes like a leotard or a fitted top with leggings or shorts are required. Tops must provide full midriff coverage during movement. Crop tops, sports bras worn alone, or shirts that rise up are not permitted. No tights that cover the feet, and no skirts or leotards with skirts attached.
If a student arrives in improper attire:
- A t-shirt will be provided for safe participation
- A $10.00 charge will be applied to the account
Boys – Shorts or sweatpants with an elastic waistband, and a fitted t-shirt (tucked in).
Footwear – Bare feet
Everyone – No oversized or loose-fitting clothing. No jeans, buckles, buttons, snaps, zippers, etc.
Hair must be pulled back securely before arriving to class.
Prairie Gymnastics will provide hair ties when needed; however:
- Repeated use of Prairie-provided hair ties will result in a $1.00 charge per hair tie
